20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.
We’re looking for a highly organized and proactive Business Support Virtual Assistant with a neutral English accent who can help manage both business and personal operations with precision, professionalism, and care.
This role supports a dynamic entrepreneur managing coaching sessions, workshops, and creative projects such as book publishing and app development.
The ideal candidate is detail-oriented, resourceful, and confident in handling executive, client-facing, and administrative tasks. You’ll act as the right-hand support — keeping projects moving, communication flowing, and daily operations running smoothly.
Scope of Services
Contractors will be required to provide services that align with the following client tasks:
- Manage calendars, appointments, and travel across multiple time zones (Ireland, US, etc.).
- Coordinate sessions, workshops, and speaking engagements (e.g., subconscious reprogramming talks, live events).
- Prepare client-facing materials such as summaries, onboarding documents, follow-up messages, and contracts.
- Maintain CRM data accuracy — update client records, track payments, and log session completions.
- Coordinate logistics with collaborators (e.g., accountants, marketing partners).
- Track project timelines (e.g., book publishing, app development, funnel builds) to ensure deliverables stay on schedule.
- Keep the client on track with tasks and deadlines, sending reminders and follow-ups as needed.
- Minimal phone calls (approx 1-5 per week as needed)
- Draft and send professional messages to clients via WhatsApp, LinkedIn, or email in the client’s tone and style.
- Schedule and confirm client sessions, ensuring Zoom links and post-session notes are well organized.
- Support client onboarding and check-ins to maintain a consistent 5-star client experience across all touchpoints (phone, text, WhatsApp, or email).
- Post and schedule approved content across Facebook, Instagram, and LinkedIn.
- Track engagement and flag top-performing posts for review.
- Repurpose written materials (testimonials, quotes, insights) into draft social posts.
- Bonus: Create reels using tools like CapCut — adding captions, cover images, and basic edits. (If not, a separate video editor can be hired for this task.)
- Manage inbox efficiently — prioritize emails, summarize key items, and draft responses for approval.
- Handle personal logistics (e.g., rent, travel, events) with discretion, efficiency, and cost-awareness.
- Maintain digital organization — manage files, passwords, SOPs, contracts, and notes.
- Coordinate errands or virtual purchases that save time and streamline daily operations.
- Identify inefficiencies in workflows (e.g., calendars, file management, follow-ups) and propose practical improvements.
- Create checklists, recurring task systems, or basic automations for repetitive tasks.
- Research and recommend tools that can improve productivity and reduce manual effort.
Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.
Skills
The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:
- Proficient in using ChatGPT and GoHighLevel (GHL) for marketing and automation tasks.
- Can work in a fast-paced environment
- Motivated to join her high-impact company and desires self-improvement
- Excellent English written and verbal communication skills with a neutral or minimal accent.
- Strong organizational and time management abilities.
- Tech-savvy with experience in tools such as Google Workspace, Zoom, WhatsApp, Canva, and CRMs.
- Able to work independently with minimal supervision and strong accountability.
- Detail-oriented, reliable, and calm under pressure.
- It would be a plus if you have some knowledge of social media content creation or editing tools like CapCut.
- Wants VA to be motivated to join her high-impact company and encouraged by self-improvement
- Ability to double-check own work and follow directives and SOPs for workflows
- Must be willing to complete the initial client questionnaire to make sure they are the best fit for the position
- Time flexibility while she is traveling.
- Proven experience as a Virtual Assistant, Executive Assistant, or Operations Coordinator.
