The role of an Executive Assistant at BruntWork

Schedule

– Part-time (20 hours/week) Monday to Friday 4 hours per day. 12:00 – 16:00 GMT 0+ (Icelandic time).

Role Overview

You will act as the right hand to the founder, supporting administrative, operational, and workflow-related tasks. Your primary goal is to keep the business running smoothly by organising workflows, supporting content and client operations, and freeing up time for high-priority tasks.


Key Responsibilities

  • Organise documents and data, including files, spreadsheets, project records, and client information using Google Workspace and Notion.
  • Maintain the CRM and client pipelines using Monday.com (or similar), tracking clients, projects, tasks, and follow-ups.
  • Automate and streamline workflows using tools such as Make.com or Zapier, including recurring tasks, data flows, reminders, and notifications.
  • Use AI and productivity tools (e.g., ChatGPT) for drafting emails, summarising notes, creating templates, and basic content support.
  • Coordinate projects and tasks by tracking progress, updating statuses, maintaining to-do lists, and ensuring deadlines are met.
  • Support content and operational workflows, including scheduling, content formatting, documentation assistance, and client onboarding.
  • Handle confidential information with professionalism and discretion.

Requirements

  • Strong proficiency with Google Workspace (Docs, Sheets, Drive, Calendar).
  • Experience using Notion for project/task management, documentation, or data organisation.
  • Familiarity with Monday.com CRM (or an equivalent CRM/project management tool) and comfort managing pipelines, client data, and tasks.
  • Experience with workflow automation tools such as Make.com or Zapier.
  • Comfortable using AI or generative-AI tools for drafting, summarising, content support, or rapid research.
  • Excellent organisational skills, proactive mindset, and ability to work independently while maintaining smooth operations.
  • Strong written and verbal communication skills, with a high level of discretion in handling business and client information.
  • Ability to prioritise work, manage multiple tasks, and adapt to changing requirements in a remote environment.
