About the Role
We are seeking a proactive and highly skilled Logistics & Inventory Administrative Assistant with advanced Microsoft Excel expertise to join our client’s team. This role is perfect for someone who can work independently, solve problems, and identify ways to improve processes rather than relying on step-by-step guidance.
You will play a critical role in supporting logistics, data management, and administrative functions, ensuring smooth day-to-day operations. While the position starts part-time, there is strong potential to grow into a full-time role and take on responsibilities in areas like e-commerce or other business functions.
Schedule
- Flexible scheduling within Perth, Australia (AWST) business hours (8:00 am – 5:00 pm); 20 hours per week to start, with the potential to grow to full-time.
- Preferably 4 hours per day, 5 days per week (or 4 days per week).
- Seasonal workload variations during production cycles.
Key Responsibilities
- Coordinate shipping documentation and logistics between factories and warehouses across multiple countries.
- Manage and validate packing lists and commercial invoices from suppliers in Indonesia and China.
- Perform accurate data entry and manage spreadsheets for inventory tracking and goods receipts.
- Upload and process spreadsheets into inventory management systems.
- Create and maintain Excel templates for shipping and logistics documentation.
- Suggest and implement automation or process improvements to streamline workflows.
- Cross-check and validate data from multiple sources for accuracy.
- Communicate and coordinate tasks via project management tools (e.g., Monday boards).
- Provide real-time support during business hours via WhatsApp, WeChat, or Microsoft Teams.
- Handle seasonal fluctuations in workload and prioritize tasks effectively.
- Collaborate closely with team members across multiple time zones.
Requirement
- Proven experience as a Virtual Assistant, Administrative Assistant, or similar role.
- Advanced Microsoft Excel proficiency (formulas, linking sheets, pivot tables, data validation, automation).
- Strong problem-solving skills with a proactive approach to improving processes.
- Excellent English communication skills (written and verbal).
- Strong attention to detail, accuracy, and organizational skills.
- Ability to work independently with minimal supervision.
- Reliable internet connection and a distraction-free work environment.
- Experience with logistics, inventory management, or shipping documentation is preferred but not essential.
- Familiarity with project management tools (e.g., Monday) and communication platforms (Teams, WhatsApp, WeChat).
- Ability to learn new systems quickly and adapt to changing workflows.
