The role of a Reception & Appointment Specialist at BruntWork
We are seeking a confident and professional Admin and Receptionist to manage inbound enquiries and convert them into booked appointments.
This role is ideal for someone with excellent phone communication skills, strong attention to detail, and proven ability to guide conversations toward bookings. You will be the first point of contact for clients, playing a key role in shaping their experience and ensuring a smooth, professional journey from first enquiry to appointment.
Client Overview:
This specialised healthcare clinic focuses on the non-surgical treatment of vein conditions, including varicose, spider, and facial veins. It offers minimally invasive procedures such as laser treatments and sclerotherapy, allowing patients to receive effective care without hospital stays or general anaesthesia. With multiple locations, the clinic provides personalised, patient-centered care that addresses both medical and cosmetic needs. Emphasising safety, quality, and comfort, it aims to enhance patient confidence and overall vascular health.
Schedule:
- Mondays to Fridays, 9:00 am to 6:00 pm (Australian Eastern Time), with a 1-hour unpaid break (40 hours per week/8 hours per day)

Key Responsibilities:
Inbound Call Handling & Conversion
- Answer inbound calls promptly and professionally
- Engage with callers, understand their needs, and confidently guide them toward booking an appointment
- Conduct value-based conversations to help clients feel comfortable and informed without being pushy
- Handle first-time or anxious callers with empathy, reassurance, and professionalism
- Follow scripts and processes while maintaining a natural, conversational tone
Appointment Booking & Scheduling
- Accurately schedule and manage appointments using online booking systems
- Capture and record client details with high accuracy
- Send confirmations and follow-ups to ensure attendance
Customer Experience & Communication
- Deliver a warm, professional, and reassuring experience on every interaction
- Build rapport quickly, particularly with Australian clients
- Respond to emails promptly with clear, well-written communication and strong attention to detail
- Ensure no missed follow-ups, errors, or typos in written communication
Administrative Support
- Maintain accurate records of calls, enquiries, and bookings
- Update CRM or practice management systems efficiently
- Quickly learn and navigate new tools and systems with minimal supervision
Requirements:
- Fluent English speaker with a clear, professional phone manner
- Prior experience working with Australian clients is highly preferred
- Proven ability to convert inbound enquiries into booked appointments
- Confident and warm communication style, especially when handling first-time or anxious clients
- Strong written communication skills with close attention to detail
- Comfortable managing both phone and email communication simultaneously
- Experience using online booking systems or practice management software
- Ability to quickly learn new tools and systems independently
Nice to Have:
- Experience in healthcare, clinics, or appointment-based businesses
- Background in sales, appointment setting, or customer service roles
- Familiarity with CRM systems and scheduling tools
